Book2befit supports multiple team members with distinct roles. Each role controls what a person can see and do inside the dashboard.

Roles

RoleWhat they can do
OwnerFull access. Manages billing, settings, team, and all data. Only one owner per organization.
AdminSame as Owner except cannot manage billing or delete the organization.
CoachViews their own schedule, can check in clients, and (if enabled) create sessions. Cannot access payments, settings, or client management.

Inviting a team member

Go to Team

Navigate to Team in the dashboard sidebar.

Click + Invite Member

Enter the team member’s email address and select their role (Admin or Coach).

They accept the invite

The invitee receives an email with a link to accept. Once accepted, they appear in your team list with their assigned role.
Invite links expire after 7 days. If a team member doesn’t receive the email, check their spam folder or resend the invite from the Team page.

Coach schedule view

Coaches have access to My Schedule — a personal view of only the sessions assigned to them. They can:
  • See upcoming sessions and booked clients
  • Check clients in or mark no-shows
  • Create sessions (if the org setting is enabled)
Coaches do not see other coaches’ sessions, client contact details, payment data, or settings.

Enabling coach session creation

By default, coaches cannot create new sessions. To change this:
  1. Go to Settings → Team.
  2. Toggle Allow coaches to create sessions ON.
Coaches can create sessions but cannot delete them — that remains Owner/Admin only.

Removing a team member

Open the Team page, find the member, and click Remove. Their account is not deleted — they simply lose access to your organization. If they have another organization, they retain access to that.

Not directly — you’d need to remove the team member and re-invite them with the Admin role. Role changes are not editable in place.
Their sessions remain scheduled and visible in the dashboard. You can reassign the sessions to another coach from the session’s edit panel.
